the 30th

I had organised a Run through of the other two activities today.
The Big Draw and the Green Screen activity.

I was slightly nervous about today , because this was the proof that we could get these activities up and running and that it would be possible on the day.

James and I picked up the equipment and set it out to practice.

We hadn't got a Green Screen yet, we are only able to get that on the full run through on Wednesday 6th and on the actual event, Friday 8th. With this in mind it was much harder to see technically how the green Screen activity would work, but Ant managed to download some programs which work well with a moving subject.

The Big draw was being timed and Leonie and I practiced drawing a tree, Brad Leonie and I practiced ways in which it could be made more exciting and time efficient. By making a strict and fast countdown till one had to jump out of the frame to take a photograph made it much more lively and kept everyone to a consistent schedule.

The Green Screen was taking shape and they seemed confident for the day. I spoke to both Simon and Patrick about how they would structure their speech and what videos, if any, they would show to bring examples of professional work to go along with their activity.

Mike was filming for the Epic/Funny Video, it was fun seeing everyone's little scenes. I think this brings more of a group feel to this project and its something we can take away with us and remember. It was really fun doing the scene each and thinking of a way to make it funny.

I had a talk with the big draw people and Esther, and in a group we had a talk how to make the activity more tangible and how to use the time allotted more effectively. We came to the conclusion that there should be two different types of animation , pen on paper, and using objects. This gives the students a chance to practice two completely different types of animation. Claire and Esther are going to ,over the coming week, think of what objects that could be used, e.g. plasticine etc.

I feel today wen't really well, everyone was involved and seemed to be enjoying what they were doing. Everyone was discussing ways to make the event better, or improving their activity, I think seeing this group work today made me less nervous about things working on the actual day as everyone seemed to want to be involved and there is such a mix of skills in our group it seems if someone can't do something, another person can help.

I enjoyed working with everyone together instead of in small groups at a time as this also showed what it will be like on the day.
I spoke to Annie about how each of the activities would be structured and she is going to write up a detailed schedule of each activity. It feels like all the organisation is coming together,and the event feels more real now!

29th March College Visit

James and I went to Brad's house to practice what we were going to say to the students at Bath City college today.

I wrote a script and transferred it onto cue cards and we did a few practices in his house.

I was SO nervous when we arrived at Bath City College, we met Ed aswell and went to meet Tim Hammond.

We spoke to Tim briefly about the event as we walked to the classroom. Once we entered I was really nervous but manged to remember my speech and then answered questions that the students had.
We gave Tim the posters that Leonie, Lee and Esther had designed and then I took down their emails so then we could send any information to them.

I had imagined the students to be much younger, and they seemed so close in age to us, this made me worry about our event being to patronising, so I am making sure that I speak to the people organising the activities to warn them about this.

When I arrived back home I emailed Esther the classes email addresses and asked her to send each of the students a personal invite to their account.

29th March Shoot out practice

Today I had organised a 'Shoot out' practice.

All the people that were involved in this event met me to go over the structure of this activity and how it will run. This is quite an ambitious activity so planning is essential.

Firstly I addressed Tom's talk. He is running the room and so we worked on what he would talk about and time which is good for a speaker.

I then spoke to the to actors Rachel and Keiran. We decided it would be good for the students to dictate what the actors should do. They were really up for it and enthusiastic, i think this is going to be a really great activity.
Rachel said she would get some barrels of Hay to dress the room with a western feel.

I felt better after talking to them as it seemed more organised now, this was going to have to have a lot of organisation, as it is a time consuming activity.

The Phone Call

I am really not good on the phone.
I don't have much confidence with holding professional conversations on the telephone, but as C.E.O of this event I have responsibilities I have to take.

Today I phoned Gemma Hunt to talk about the event.

To my surprise the phone call went really well. We spoke about the angle of the event and I told her what was going to happen.
We discussed her fee and her time of arrival.
I asked her to bring visuals for her talk as I thought this would be very beneficial for the class and she said she would find some for the day.

Aside from all the professional issues we also had a chat about university , her past and what we are doing now.

I felt like I had really accomplished something after the phone call.

I followed up by emailing her a map of the university, directions and a schedule of the day.

It feels so real now that we are getting actual professionals to come to our event!

15/03/2011 MEETING WITH BRAD

Today I discussed with Brad the possibility of having Gemma Hunt to be a guest Speaker.
Is she a good person to relate to Students
Will they recognise her
Will her talk have the right content for what we are trying to put across
Will she bring in the Media attention.

I had spoken to some of my peers who had met her in a previous project and they said she was charismatic, not patronising and interesting. I personally feel she would be a good addition to the Media event, I had mentioned her in class also and had a good response.
Once speaking to Brad he felt the same, so after the meeting I was to write an email to her ( Lesley had asked her if I could contact her).

The rest of our meeting was about delegating.
We had both compiled a list in which we included all the 'Pre Event' Roles we could think of.
JOB ROLES
Chasing/making sure jobs are done.
Help others with any problems they come across.
Make deadlines.
Planning details of the event/keeping record of everything.
Schedule for the day
Research (Set to research a certain subject as it’s needed, then report back)
Potential Speakers in group.
Paper work.
Time keeping (Write a time plan)
How will we break down the students in to smaller groups?
Decide on guest speakers and the content of their talks. Also arrange for them to come/travel/food

I sent the List to Helen Goldsworthy, Widening Participation Coordinator, to see if she thought the list was okay and if she could think of any roles to add these were her suggestions:

book rooms and porters if the tables and chairs need to be added or taken away, and also to let Security and Central Services know about the event, via WMS systems.

Other than that, ensure you are aware of fire exits, fire location points if the alarm goes off, and the nearest first aiders to the rooms you are using.



Brad and I continued to delegate to which groups we should give what tasks. The group leaders from each of the groups could then filter these down onto the best person they felt would be for the job.

I started writing out briefs for each of the tasks. I found it quite hard to delegate at first but know I'm getting into the hang of it , and explaining what needs to be done.

Tomorrow I am having a meeting with each of the Team Leaders Esther, James and Brad. This is what we need to discuss:
Roles and delegations
The Green Screen activity - what else can we do to make sure we correctly fill the 45 mins
Food and Travel for the Students - How will we manage this
Guest Speakers - Who else will we get, we need to finalise soon!
The Media, Who and How are we going to attract them.
As I am talking to Tim Hammond about the event on Thursday , I want us to discuss exactly what information I should give him.

ANGLE

This will be the Angle of the event. All the Leaders are happy with it and once speaking about it with the class, they agree with the way the event will go.

Fun and Educational

The reason we are holding the event for the students is to give them an insight to ‘higher education’ from their course they are studying now. This is an opportunity for students to see what their future could be and for them to decide if it is for them. As the fees have risen it is important to show the students the importance of university and to hopefully encourage them to come even though it will be harder financially.

The Angle we will be putting on the actual day will be to have a slightly ‘ Apprentice theme’.
We will have 3 main activities and with this we will set them a task in which they work against the clock to create a media piece.
This brings fun and competition to the day but also shows them the reason they would actually come to university, which is to get a job in the media with stick deadlines, but creativity and team work.

As this day is showing them their possible future there will be talks from people from the industry, talks from people on the university course and possibly a talk from MP Don Foster to discuss fees rising, in which the students can ask questions about their future.

The angle we will take to attract media attention to our event will be by promoting our event as ‘ encouraging students to go on to higher education despite the rising fees’.
As their are job cuts at the moment we can be seen as educating the students that getting a degree is useful for their future.

After the students have done their activities there will be talks with various ‘celebrities’ / ‘names’ in the media to attract media attention and coverage, as well as a possibility of politicians talking about a matter that is in the public eye at them moment.

As this is a relevant topic it is more likely to be covered, and the fact that celebrities can be involved brings the media along as they can put a face to the event.
